THE IMPORTANCE OF PLANNING

The Purchasing Department is key to improve the management and profitability of a company; therefore, we will try to expose the competencies of the purchasing area in those companies that operate in highly competitive industries.


All required acquisitions should be channeled through the Purchasing Department, whose main objective is to optimize the company's resources by means of an adequate selection of the supplier, which should cover the following points:




  • Best Price

  • Best Service

  • Better quality

  • Better payment terms

  • Better support and/or advice



All this through a mixed system, in coordination with the other departments of the company.


To be successful in procurement, the process must be planned as an activity within the project schedule, taking into account the time required to determine the analysis of the need, the selection and quotations of potential suppliers, the round of negotiations and the final award.


It is precisely in this part where the business strategies, programs and/or construction procedures required for a given project can be defined.



DEFINE A STRATEGY ALIGNED WITH THE CORPORATE STRATEGY

The challenge is not only to align with the company's General Management, but also to achieve objectives that combine profit maximization.


For a construction company to develop a project successfully, it must give great importance to this planning stage. The strategies used by the companies during this stage are of vital importance and of great impact to achieve good results both in the constructive and economic aspects, besides helping in the processes and times to execute a building.


Some of the main points to achieve success in the planning stage are:

  • Define purchasing strategy

  • Having knowledge of the local market (near shoring).

  • Good coordination and communication with the requisitioning area.

  • Finding suppliers that are truly reliable

  • The site manager must know exactly what is needed at each stage of the project. at each stage of the project

WHAT ARE THE KEY ASPECTS OF PROPER PURCHASING PLANNING?
  • That the site managers have a very deep knowledge of the project to be executed, studying the plans and analyzing the pros and cons of the different construction systems.

  • Perform a correct quantification of the materials to be used to analyze delivery times and determine if any input is required that has not been considered during the quotation stage to the final client.

  • The selection of the correct supplier, considering that it complies with all legal aspects such as: IMSS, REPSE, contracts, etc.

  • Design an execution work program, but also a materials supply program, in order to avoid risks or delays due to lack of supplies on time.

  • Manage a good relationship with suppliers.


In conclusion, the planning strategy of the Purchasing Department is key to achieve supply alternatives in time and form, as well as to have the negotiation capacity to obtain the best cost/benefit results for the inputs needed in the project.
